Terms of Service

These Terms of Service ("Terms") govern your use of RentalReportLab ("the Service"), operated by RentalReportLab ("we," "our," or "us"). By accessing or using the Service, you agree to be bound by these Terms.

1. Eligibility

You must be at least 18 years old and legally capable of entering into a binding agreement to use the Service. By using the Service, you represent that you meet these requirements.

2. Description of Service

RentalReportLab is a web application that allows rental property owners and investors to:

• Track rental properties (short-term and long-term)
• Record income and expense entries categorized by IRS Schedule E
• Import transaction data via CSV from Airbnb, VRBO, and Hostaway
• Generate PDF reports, CSV exports, and analytics
• Share reports with accountants via secure read-only links
• Upload property photos and expense receipts

3. Account Registration

• You may sign in using Google Sign-In or create an account with email and password via Firebase Authentication
• You are responsible for maintaining the security of your account credentials
• You may not create multiple accounts or share your account with others
• You must provide accurate information and keep it up to date

Email Communications

During signup, you may opt in to receive occasional emails from us, including product updates, tax season reminders, and tips. You can change your email preferences at any time from the Settings page. We will never sell, rent, or share your email address with third parties for marketing purposes.

4. Subscription and Payment

• Free tier: 1 property, basic tracking features, no exports
• Pro tier: Unlimited properties, PDF/CSV exports, CSV import, bulk entry, report sharing, and all analytics. Priced at $9/month or $79/year.
• Payments are processed securely by Stripe. We never see or store your credit card information.
• Subscriptions renew automatically. You can cancel at any time from the Settings page.
• Upon cancellation, you retain access through the end of your current billing period, then your account reverts to the Free tier.
• We do not offer refunds for partial billing periods. If you believe you were charged in error, contact us at rentalreportlab@gmail.com.

5. User Content and Data Ownership

• You own your data. All properties, financial entries, uploaded files, and reports you create belong to you.
• You grant us a limited, non-exclusive license to store, process, and display your content solely to provide and improve the Service.
• You are responsible for the accuracy of data you enter or import (including CSV files from third-party platforms).
• You may export your data at any time via CSV export.

6. Acceptable Use

You agree not to:

• Use the Service for any illegal purpose
• Upload malicious files, viruses, or harmful content
• Attempt to access other users' data or accounts
• Use automated bots, scrapers, or other tools to access the Service
• Reverse engineer, decompile, or disassemble any part of the Service
• Impersonate another person or entity

7. Report Sharing

• When you create a share link, anyone with that link can view the associated report data without logging in
• Share links expire after 90 days and can be revoked at any time
• You are responsible for who you share your links with
• We are not liable for any consequences of sharing your financial data via share links

8. Intellectual Property

• The Service, including its design, code, branding, and documentation, is owned by RentalReportLab and protected by copyright and trademark laws
• You may not copy, modify, distribute, or create derivative works based on the Service
• You retain full ownership of all content you upload or create within the Service

9. Free Calculators, Guides, and Public Content

Our website includes free public tools and educational content, including:

• Interactive financial calculators (cap rate, NOI, cash flow, ROI, depreciation, DSCR, and others)
• Educational guides about rental property taxes, Schedule E, bookkeeping, and Airbnb hosting
• State-by-state rental property tax guides
• Software comparison pages

These tools and content are provided for informational and educational purposes only. They do not constitute tax, legal, financial, or investment advice. Calculator results are estimates based solely on the values you input and may not reflect your actual tax situation or financial outcome. We make no guarantees about the accuracy, completeness, or applicability of any calculator result, guide, or article.

You should not make financial decisions, file tax returns, or take legal action based solely on information from our calculators or guides. Always consult a qualified CPA, tax professional, or attorney for advice specific to your situation.

10. Disclaimers

• The Service is provided "as is" and "as available" without warranties of any kind, express or implied
• We are not accountants, tax professionals, or financial advisors. The Service is a tracking and reporting tool, not a substitute for professional accounting, tax, or legal advice.
• Reports generated by the Service (including Schedule E mappings, depreciation calculations, and financial analytics) are for informational purposes only. Always consult a qualified tax professional before filing.
• We do not guarantee the accuracy of data imported via CSV from third-party platforms
• We do not guarantee the accuracy of any calculator, financial metric, or report generated by the Service
• We do not guarantee 100% uptime or uninterrupted access to the Service
• We are not liable for any tax penalties, audit outcomes, incorrect filings, or financial losses resulting from your use of the Service, its calculators, guides, or reports

11. Limitation of Liability

To the maximum extent permitted by law:

• Our total liability to you for any claims arising from your use of the Service shall not exceed the total fees you paid to us in the 12 months preceding the claim
• We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities
• We shall not be liable for any tax penalties, audit outcomes, or financial losses resulting from reliance on reports generated by the Service

12. Termination

• You may close your account at any time by contacting us at rentalreportlab@gmail.com
• We may suspend or terminate your account if you violate these Terms
• Upon termination, your data will be retained for 30 days to allow you to export it, then permanently deleted

13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of North Carolina, United States, without regard to conflict of law provisions. Any disputes shall be resolved in the state or federal courts located in North Carolina.

14. Changes to These Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or in-app notice at least 30 days before they take effect. Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
