RentalReportLab ("we," "our," or "us") operates the website rentalreportlab.com. This Privacy Policy explains how we collect, use, share, and protect your personal information when you use our service.
1. Information We Collect
Information You Provide
- Account information via Google Sign-In: email address, display name, and profile photo URL
- Property data: property names, addresses, photos, purchase details, and financial information you enter
- Financial data: income entries, expense entries, and receipt uploads (photos or PDFs)
- Imported data: CSV files you upload from Airbnb, VRBO, or Hostaway containing transaction history
Information Collected Automatically
- Vercel Web Analytics: anonymous, cookie-free analytics including page views, referrer, browser type, and device type. No personal identifiers are collected.
- Firebase Auth session tokens: essential authentication cookies required for you to stay signed in. These are not used for tracking.
Information from Third Parties
- Google: via Google Sign-In, we receive your email, display name, and profile photo URL
- Stripe: we send your email and user ID to Stripe for payment processing. Stripe handles all credit card and payment data under their own privacy policy. We never see or store your card number.
2. How We Use Your Information
- To provide the service: store properties, track income and expenses, generate reports
- To process subscription payments via Stripe
- To authenticate your identity via Google/Firebase Auth
- To enable report sharing when you create share links
- To improve the service using aggregate, anonymized usage data
Public Content Pages
Our website includes public educational content such as rental property calculators, tax guides, state-by-state guides, and software comparison pages. These pages do not collect personal information beyond standard anonymous analytics (Vercel Web Analytics). No account or login is required to view them. Images on these pages are sourced from Unsplash under their free license and stored on our servers.
We do NOT use your data for advertising, behavioral profiling, or AI/ML model training.
Email Communications
If you opt in during signup, we may send you:
- A welcome email when you create your account
- Tax season reminders (e.g., April 15 and October 15 filing deadlines)
- New feature announcements and product updates
- Tips for managing rental property finances
We will never sell, rent, or share your email address with third parties for marketing purposes. Your email is used solely to operate the Service and send communications you have opted into. You can unsubscribe at any time from your Settings page.
Emails are sent via Resend, our email delivery provider. Resend processes your email address solely to deliver messages on our behalf under their privacy policy.
3. How We Share Your Information
- Stripe: email and user ID for payment processing
- Google/Firebase: authentication and data storage infrastructure
- Vercel: anonymous, aggregated web analytics
- Report recipients: when you generate a share link, the recipient can view that report's financial data without logging in
We do NOT sell your personal information to third parties. We may disclose information if required by law, legal process, or to protect our rights.
4. Data Storage and Security
- Data is stored in Google Cloud (Firebase/Firestore) in the United States
- Files (property photos, receipts) are stored in Firebase Storage
- All data is encrypted in transit (HTTPS/TLS) and at rest
- Access to your data is controlled by Firebase Auth. Only you can read and write your own data
- Sensitive fields (subscription plan, Stripe customer ID) can only be modified by our server, not by client-side code
5. Data Retention and Deletion
- We retain your data as long as your account is active
- You can request deletion of your account and all associated data at any time by contacting us at rentalreportlab@gmail.com
- Upon deletion, we remove: account information, properties, income and expense entries, uploaded files (photos, receipts), reports, and share tokens
- Stripe retains its own transaction records per their data retention policy
6. Cookies and Tracking
- We do NOT use marketing, advertising, or tracking cookies
- We use only essential authentication session cookies (Firebase Auth) required for the service to function
- Vercel Web Analytics is cookie-free and does not track individual users
7. Your Privacy Rights
California Residents (CCPA/CPRA)
If you are a California resident, you have the right to:
- Know what personal information we collect about you
- Request deletion of your personal information
- Opt out of the sale or sharing of your personal information (note: we do not sell or share your data)
- Not be discriminated against for exercising your privacy rights
Other US State Privacy Laws
Residents of states with applicable privacy laws (including Virginia, Colorado, Connecticut, Texas, Oregon, and others) have similar rights to access, correct, delete, and port their personal data. To exercise any of these rights, contact us at rentalreportlab@gmail.com.
8. Children's Privacy
Our service is not directed at anyone under the age of 18. We do not knowingly collect personal information from minors. If we learn that we have collected data from a minor, we will delete it promptly.
9. Free Calculators, Guides, and Public Content
Our website includes free public content that does not require an account:
- Calculators: interactive tools for cap rate, NOI, cash flow, ROI, depreciation, DSCR, and other rental property metrics
- Guides: educational articles about rental property taxes, Schedule E, bookkeeping, and Airbnb hosting
- State tax guides: state-by-state rental property tax information
- Comparison pages: feature comparisons between RentalReportLab and other tools
These public pages do not collect personal information beyond standard anonymous analytics (Google Analytics and Vercel Web Analytics). Calculator inputs are processed entirely in your browser and are never sent to our servers or stored. No account or login is required to use them.

10. Third-Party Services
Our service contains links to and integrations with third-party services including Google, Stripe, Airbnb, VRBO, Hostaway, and Resend. These services are governed by their own privacy policies. We encourage you to review their policies.
Our public educational pages may reference or compare third-party products (such as Stessa, REI Hub, Baselane, QuickBooks, and others). All trademarks are property of their respective owners. We are not affiliated with these companies.
Images on public pages are sourced from Unsplash under their free license and stored on our servers.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notice. Your continued use of the service after changes constitutes acceptance of the updated policy.
